Commercial Vehicle Observation & Sales Lead Policy

Employees may identify commercial vehicles, company names, logos, and other publicly visible business information for the purpose of developing legitimate hotel sales leads.

Employees may photograph or record commercial vehicles only when they are lawfully present at the location and the information is visible without entering a restricted area.

Employees must not enter another hotel’s property for the primary purpose of identifying, photographing, recording, or monitoring that hotel’s guests, customers, or vehicles.

Employees are strictly prohibited from entering another hotel’s property when any “No Trespassing,” “Private Property,” “Guests Only,” “Authorized Personnel Only,” “No Soliciting,” or similar restrictive sign or notice is posted, regardless of the wording, format, size, or location of the notice.

Employees must immediately leave any property if requested to do so by the property owner, hotel management, security personnel, or another authorized representative.

Whenever practical, employees should avoid photographing individuals, license plates, room numbers, or other personally identifying information. The objective is to identify businesses and potential corporate accounts, not individual hotel guests.

Information collected through this activity may be used internally for legitimate sales prospecting, including researching a company and contacting its publicly available business representatives regarding negotiated hotel rates, crew accommodations, project stays, or other lodging needs.

Photographs or information obtained through sales prospecting may not be published, posted on social media, used in advertising, or represented as an endorsement or business relationship without appropriate authorization.

Employees are expected to exercise professional judgment at all times and must respect private-property rights, posted restrictions, guest privacy, and applicable laws.

When in doubt, do not enter the property. Conduct the observation from a public location or another location where you are clearly authorized to be present.
